What TraxSystem can do

The TraxSystem vehicle entry control system covers twenty-four functional areas: from vehicle entries, delivery bookings and weighing, through people access control, security and health and safety, to the railway siding, reports and hardware configuration. They all work on one database and one set of permissions. You buy the ones you need and add the rest later.

The division into areas comes from the permission groups in the application itself, so it matches what an administrator sees after logging in.

Vehicle traffic: entries, bookings, number plates, weighbridge and rail

Handling vehicle traffic is the core of TraxSystem and usually the first stage of implementation. The vehicle entry log covers the full cycle of a visit: from the booking, through the gate, to the time accounting. A vehicle moves through statuses from expected to completed, details are suggested from history, and dwell time is calculated automatically.

The delivery booking and logistics area schedules arrivals into time slots and docks, together with a portal for the carrier and a kiosk where drivers check in without involving the gatehouse. It is the most extensive area in the whole system, because it involves the largest number of parties: the office, the warehouse, the gate, the carrier and the driver.

Number plate recognition relieves the operator of handling vehicles that are entitled to enter anyway. It runs on the server or on a device at the gate, and in both cases the images do not leave the site.

Weighing handles the weighbridge in three modes: automatic, two-stage and manual. Two-stage weighing gives you the net weight of the goods without subtracting figures in your head, and every weighing ends with a document linked to the entry.

Rail traffic covers records of tracks, train consists and wagons with UIC numbers, train formation and a portal for the rail carrier, in the same log as road traffic.

Once a vehicle is in, it is handled by the on-site traffic area: car parks with live occupancy, section speed measurement on site, random selection for inspection and a locator that shows the vehicle on the site map.

Together, these areas take the vehicle from booking a dock to driving out, which is the scope that logistics calls a yard management system (YMS).

People access control, working time, security and health and safety

Access control handles passages through readers and turnstiles, cards, access rules restricted by schedule and date range, visitor cards from a pool, temporary cards for employees without their own card, and subcontractor lists. It also shows who is on site. The same passages produce time and attendance records, together with reports for HR and spreadsheet export. The vehicle entry log, visitor cards and the key register together make up the electronic gatehouse.

Contractor staff come in through work lists: the company sends a list of names and the dates, the people get cards from a separate pool, and when the work is finished the cards go back into circulation. The limit on working days is calculated from the dates on the lists, including lists from other companies.

Security support covers patrols with checkpoints and a route trail, an electronic duty log, notes, incident documentation with photos and a signature, a view of alarm panel status and lone working check-ins from guard posts.

The health and safety and evacuation area covers the induction on a touch terminal in the driver’s language, with a signature and validity records, and a list of the people present on site to account for at the assembly point.

Meeting room and guest room booking links the room calendar with door access: a booking opens the room for the duration of the meeting, and a visitor from outside the company gets a PIN that is valid only then and only there. Guest bedrooms are booked by the night.

The register of site bans and warnings collects management decisions and is checked at registration and at the gate. A ban can be temporary or indefinite. TraxSystem does not close the barrier on its own: it shows the operator a warning, because an automatic block would stop an emergency vehicle or punish a typo in a surname.

Reports, alerts, warehouse and transport documents

Reports provide ready-made breakdowns, search across all the data at once, export to Excel and PDF, and reports sent automatically by email at a set time. The visibility scope from the user’s role applies to exports as well.

Alerts send a notification by SMS, by email or to the app when something happens that needs a response, and the history shows what the system reported and when.

Warehouse support covers the daily dock plan, confirmation of the start and end of unloading and a register of material withdrawals. In it, the warehouse sees only its own docks.

Transport document handling accepts a scan of the consignment note from the gate or the kiosk, links it to the entry and lets you find it years later. For selected entry types, a minimum number of scans can be enforced.

Devices, portals, fleet and administration

TraxSystem devices come from a single supplier: a self-service kiosk, an induction terminal, a mobile security terminal, an edge device for number plate recognition, barrier and passage controllers, a relay module, an SMS gateway, and scanner and print agents. Technical configuration describes the hardware installed at the site (gates, barriers, cameras, readers, weighbridges, relays, displays and maps), together with diagnostics and connectivity monitoring.

Portals for external parties give the road carrier, the rail carrier and the customs agency access to their own data without letting them into the system.

Company cars and fleet supervision cover booking a vehicle in a calendar, a handover and return record with the fuel level, inspection dates and collecting odometer readings by SMS.

Administration covers accounts and roles, lookup lists of vehicles, drivers and carriers, work schedules, declaration templates with custom fields, an audit trail of changes, and retention and anonymisation of personal data. The common layer includes the main dashboard, a noticeboard, internal messages, an interface in fourteen languages with a dark mode, and a manual available from every screen: 290 topics with screenshots, updated together with the application.

One database for all areas

In TraxSystem, a vehicle entry, a person passing through a turnstile, a weighing, a health and safety induction and a security patrol are all recorded in one database. So a report can combine a vehicle’s dwell time with who received it, or the evacuation list with the drivers who happen to be waiting at the dock. There is no synchronisation or overnight file transfer between areas, so nobody has to decide which database is right.

What TraxSystem does not cover

TraxSystem does not do warehouse management, does not calculate pay, does not detect fire and does not build analyses on arbitrary queries. Nor is it a CCTV recorder: from the cameras it saves photos and video clips of key moments, and continuous recording stays in the CCTV system. Each of these areas has its own systems, and it is better to integrate them with TraxSystem than to replace them.

Some features also need hardware at the site. Without a weighbridge there is no weight reading, without checkpoints there is no proof of a patrol, and without number plate recognition at both ends of a section there is no speed measurement. On a site with no infrastructure at all, what remains is a register kept by hand.

What a TraxSystem demo looks like

The demo runs on your configuration and doesn’t require anything to be installed at your site. In it we walk through the whole process: booking, driver check-in, induction, entry, weighing, exit and report.

Let’s talk about your site

The quickest way to check the fit is a demo. We walk through the whole process using your gate’s settings, and you can see straight away what fits and what needs to be set up differently. We don’t install anything at your site for the demo.
