This document describes how we process the personal data of people who visit the traxsystem.pl website and get in touch with us. It applies to the website only. The rules for processing data in a TraxSystem system deployed at a customer’s site are set by that customer as the data controller; a description of the mechanisms we provide is on the data security page.
Data controller
The controller of your personal data is EROW, ul. Okrężna 31C, 43-150 Bieruń, Tax ID (NIP) 6461016723.
For matters concerning personal data, contact us at biuro@traxsystem.pl, telephone +48 883 432 522, or in writing at our registered office address.
What data we collect
Data you give us when you get in touch
If you write to us or call us, we process the data you provide: your first name and surname, e-mail address, phone number, company name and the content of your message. We do not ask for special categories of data, and we ask you not to provide them.
Technical server data
The website server records the IP address, the date and time of the request, the browser type and the address of the page you came from. These are standard server logs needed for the server to work and to keep it secure.
Data from cookies
The scope and purposes are described in a separate cookie policy.
Why we process data and on what legal basis
| Purpose | Legal basis |
|---|---|
| Replying to an enquiry and handling correspondence | legitimate interest: handling the enquiry and business contact |
| Preparing and presenting a quotation | taking steps at the request of the data subject before entering into a contract |
| Ensuring the website works and is secure | legitimate interest |
| Visitor analytics, if used | consent given in the consent banner |
| Pursuing or defending legal claims | legitimate interest |
Providing your data is voluntary, but without an e-mail address or a phone number we cannot reply to your enquiry.
How long we keep data
We keep correspondence for as long as needed to deal with the matter, and then for the limitation period for any claims.
We keep server logs for the period resulting from the hosting configuration, and no longer than is needed to ensure security.
We keep data related to a concluded contract for as long as the contract lasts and for the periods required by tax and accounting regulations.
Who we share data with
Data may be processed by organisations whose services we use to run our business: the website hosting provider (Cloudflare), the service that forwards form submissions to our mailbox (FormSubmit, formsubmit.co), our e-mail provider, our accounting services provider and providers of analytics tools, if you consent to them. Each of them acts under a data processing agreement and only within the scope of that agreement.
We do not sell personal data and do not pass it on to third parties for marketing purposes.
We do not transfer data outside the European Economic Area. If that were to change, we will update this document and state the legal basis for the transfer.
Your rights
You have the right to:
- access your data and receive a copy of it;
- have inaccurate data corrected and incomplete data completed;
- have your data erased;
- restrict processing;
- data portability for data processed on the basis of consent or a contract;
- object to processing based on legitimate interest;
- withdraw your consent at any time, without affecting the lawfulness of processing carried out before the withdrawal.
You can submit a request to biuro@traxsystem.pl. We respond within the time limit set by law.
You also have the right to lodge a complaint with the Polish data protection authority, the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warszawa.
Profiling and automated decisions
We do not make decisions about website visitors based solely on automated processing, including profiling, that would produce legal effects concerning them or similarly significantly affect them.
Changes to this document
We update this policy when the scope of processing or the set of tools used on the website changes. The date of the last update is given at the bottom of the page.
