Inducting a foreign driver: a sheet of paper or a member of staff using hand signals
A driver from abroad is handed a sheet at the gatehouse in a language they don’t know, and signs it because they want to get in. Everyone knows this is not an induction, and everyone knows that after an accident that signature will not protect anybody.
The second option costs more: a member of staff gives the induction with hand signals, twenty minutes for every new driver. It works, but it eats up the time of someone who was supposed to be doing something else, and it doesn’t scale to twenty suppliers a day.
How the induction works on the terminal

The material and the questions are prepared by the site’s health and safety officer. The system does not make up or generate induction content, because that is knowledge about a specific site and its specific hazards. TraxSystem takes the driver through the material, asks check questions and collects a signature drawn with a finger on the screen.
The induction is available in eighteen driver languages, including Arabic with a right-to-left layout. The driver picks a language at the start, and when the entry is registered the language is often already known from the driver’s record, so the terminal opens straight in the right one.
The induction can be run on a touch terminal set up by the gatehouse or at the kiosk where the driver checks in. A session interrupted halfway through can be resumed for a limited time, after which the system cancels it, so that abandoned inductions don’t clutter up the records.
The system keeps track of induction validity. When the same driver comes back, the gate operator can see whether the induction is still current.
Evacuation list of the people present on site
The evacuation list in TraxSystem covers everyone who is registered: employees, visitors, subcontractors and drivers waiting at the docks, because when the alarm goes off somebody has to know who to look for.
Once the alarm has been announced, the list is frozen in a snapshot. Later events no longer change it, so the person running the muster ticks off a fixed set of names instead of chasing a list that keeps recalculating itself. Removing someone from the list is an explicit operation and leaves a trace.
The list is built from four independent sources of information about who is present, and the system checks that the counters match the number of rows. This guards against the worst possible error at this point: a list that looks complete while people are missing from it.
What TraxSystem does not do in health and safety and evacuation
TraxSystem will not stop a driver without a valid induction from entering. It shows whether the induction is valid, and the decision is taken by the operator or by an access rule configured at the site. This is the first thing a health and safety officer checks.
The induction on the terminal does not replace an employee’s job-specific training; it covers the general induction for people coming onto the site. The system does not manage medical examinations or professional qualifications and does not generate induction content: the material, the questions and the scope come from the site’s health and safety officer.
TraxSystem does not detect fire, does not raise the alarm and is not a fire alarm system; in an evacuation it provides the list of people present. The list tells you that someone is on site, but not where they are in the building, because indoor location is outside its scope. Nor does it include people who came in without registering. That is a limitation of every card-based system, and the muster procedure has to allow for it.
Frequently asked questions about health and safety induction and evacuation
How long does the induction on the terminal take?
As long as the material the site has prepared, usually a few minutes. The driver can complete it while waiting for permission to enter in any case.
Is a signature on the screen sufficient proof?
That is for the site’s health and safety team to judge in each case. The record stores the date, the time, the content the driver answered and the signature. We provide the document and the record, but we do not interpret the regulations.
What if the driver doesn’t know any of the eighteen languages?
Then a member of staff gives the induction, as before, and the system records who gave it.
Does the evacuation list work without power?
It needs power: the list is in the system, so it requires a working server and a device to open it on. The site’s evacuation procedure should include a fallback, and TraxSystem does not replace that fallback.
