The price of the TraxSystem vehicle entry control system is the sum of the base package and the modules you choose. The base is priced by the number of gates and the number of workstations in use at the same time, and each module by its own quantity limit, which grows with the base. The price list is published, so you can work out the amount yourself in the pricing configurator, without a sales call. Hardware is counted separately, and often you don’t need to buy anything, because the system is set up around the installation you already have.
What the base price includes
The base covers the whole vehicle traffic log: recording entries and exits, dwell time control, SMS and email alerts, reports with export, gate and device configuration, and an interface in fourteen languages. It comes in four sizes. Start covers one gate and up to 3 concurrent sessions, Standard up to 2 gates and 10 sessions, and Extended up to 5 gates and 25 sessions. Enterprise is for sites with more than five gates, has no session limit and is priced individually.
Every base size has the same set of functions and differs only in scale: the number of gates and of operator workstations in use at once. A workstation is a concurrent session, so you create as many accounts as you need and pay for as many people as are working in the system at the same moment. Security working three shifts takes up one workstation, because the shifts are never logged in at the same time.
Modules added to the base and their limits
People access control, delivery booking, weighing, site security, health and safety inductions, rail operations and the other modules are added to the base separately. Each has a quantity limit that grows with the size of the base, so in a larger base the same module covers a correspondingly larger scope:
| Module | Priced by | Limit (Start → Extended) |
|---|---|---|
| People access control | number of readers | 5 → 40 |
| Time and attendance | number of employees | 100 → 1,500 |
| Bookings and warehouse | number of docks | 2 → 20 |
| Site security | number of guard posts | 2 → 6 |
| Weighing | number of weighbridges | 1 → 3 |
| Health and safety inductions | number of people inducted per year | 100 → 2,000 |
| Rail operations | number of tracks | 1 → 10 |
| Fleet | number of vehicles | 10 → 100 |
| Site surveillance | number of areas | 1 → 10 |
| Random inspection | number of passages covered | 2 → 20 |
| Bans and warnings (site and vehicle entry bans) | number of active bans | 50 → 1,000 |
| Declarations | number of templates | 3 → 30 |
| Room booking | number of rooms | 3 → 30 |
On top of that come optional items: cloud hosting (a higher rate, because it covers running the server), annual prepayment with a discount, implementation, and two-server operation, available from the Extended base upwards. The pricing configurator shows the amount for your own number of gates, readers and weighbridges, together with the items you select, separately for a subscription and for a one-off licence.
Why hardware is priced separately
Hardware is priced separately because at most sites it is already in place: the barrier, camera, reader and weighbridge usually exist and work. TraxSystem is configured around the existing installation and doesn’t require it to be replaced.
Hardware compatibility is checked against a list of devices before anything is signed. Giving the device models in the very first conversation shortens everything that follows.
When hardware is needed, you have three routes: use your own, buy it and install it yourself with our design and support, or have us do the installation. Each of them is priced separately from the licence.
What the base and module prices do not include
Hardware with installation and ERP integration are outside the price. TraxSystem has no ready-made connectors for SAP or Oracle, so integrations are built on the API and priced separately. Adding a module requires a new licence to be generated, so extending the scope is planned into the schedule rather than switched on with a toggle.
Questions and answers
We have one gate but 800 employees. Will the Start base be enough?
No. In the Start base the time and attendance module covers up to 100 employees. The number of employees says as much about the size of a site as the number of gates, and with eight hundred people passing through the system the site isn’t small, however few vehicle entries it has.
What happens when the subscription expires?
The system stops working. With a one-off licence it carries on working with no fees, and after two years the only decision you make is whether to renew support.
Can you switch from a subscription to a one-off licence?
Yes, in both directions, with the price agreed individually.
